Privacy notice
This notice explains what personal data LogiFlow Operations collects, why, who it is shared with and your rights. Last updated: 2 November 2026.
Who we are
LogiFlow Operations is the trading name of a sole trader based in the UK (“we”, “us”). We are the controller of the personal data described here, except where we process data on a paid client’s behalf (see “Data inside client documents”).
Contact: ops@logiflowops.co.uk
What we collect and why
| Who | What we collect | Why, and our lawful basis |
|---|---|---|
| People requesting a free audit | Name of your company, work email address, and the documents you upload | To produce and email your audit, and to limit free audits to one per company. Taking steps at your request before a contract, and legitimate interests. |
| Paid clients | Contact details of your staff, invoices, rate cards and other documents you send | To provide the service and send weekly summaries. Performance of our contract with you. |
| Business contacts we email | Name, job title, work email address and company, from public sources and business-data providers | To introduce our service to businesses that may benefit. Legitimate interests. You can object at any time (see “Your rights”). |
| Everyone who emails us | Your email and what you tell us | To reply. Legitimate interests. |
We also keep business and accounting records where the law requires it (legal obligation).
Data inside client documents
Carrier invoices and delivery documents often contain details of your own customers, such as names, delivery addresses and tracking references. We use these only to check the charges and write dispute emails. For paid clients we handle this data on your behalf as a processor, under our terms with you. For free audits we use it for the audit only.
Who we share data with
We never sell personal data or use client documents for marketing. We share it only with the service providers that run LogiFlow on our behalf: online forms, workflow automation, email and file storage, AI document processing, and business email sending. They handle data only on our instructions.
Some of these providers process data outside the UK. Where they do, we rely on UK adequacy regulations or appropriate safeguards such as the UK International Data Transfer Addendum. Ask us for details.
How long we keep it
- Free audit documents and audit sheets: deleted 30 days after your audit is sent
- Your email address from a free audit: kept for 12 months so each company gets one free audit, then deleted
- Paid client documents: for as long as you’re a client, then deleted within 90 days, unless you ask us to delete them sooner
- Business contacts we email: until you ask us to stop, or 12 months without a reply
- Accounting records: as long as the law requires (usually 6 years)
Your rights
You can ask us to give you a copy of your data, correct it, delete it, restrict how we use it, or transfer it. You can object to our use of it based on legitimate interests, and you can always tell us to stop sending you marketing emails. We will stop. Email ops@logiflowops.co.uk. We reply within one month.
If you’re unhappy with how we’ve handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We’d appreciate the chance to put it right first.
Security
Documents are stored in access-controlled business accounts, and each client’s audit sheet is shared only with that client.
